Every berth sold, every skipper's ticket in date

Your website sells the last berth on a shared yacht. Balances come in without anyone asking, and medical forms come back signed. Keely tells you before a skipper's ticket or a liferaft runs out.

  • £150 a month + 1.5% of bookings paid online
  • Nothing on cash or bank-transfer payments

Your week

A week in June, as your office sees it

Three boats, five courses, three skippers and twelve students who each owe a form and a balance. Keely shows the week on one screen, with what still needs a person.

What Keely does

Seven jobs your office stops doing by hand

You can see every one of these working in a walk-through, set up with your own courses.

Everything Keely does

One yacht, two coursesBoats board for a week: Competent Crew and Day Skipper Practical sharing the yacht Curlew, both led by Rachel Moore.
Competent Crew and Day Skipper sharing Curlew, both led by Rachel Moore.
Courses that share a yacht

Day Skipper and Competent Crew on the same boat count against the same berths. Your website shows the places left, and phone bookings go into the same diary.

Deposits and balances

Take a deposit when they book. Keely charges the balance to the card they saved, as many days before the course as you choose, or sends them a link to pay. Payments go into your own Stripe account.

Forms, joining instructions and crew lists

Each student fills in their medical and next-of-kin details on their phone, and Keely chases anyone who hasn't. Joining instructions go out with the boat, skipper, meeting point and kit list. Each boat gets a crew list with emergency contacts.

Skippers' tickets and boat checks

Keely keeps the expiry date of each skipper's qualifications, and skippers add a renewed ticket from their phone. Each boat has its liferaft, EPIRB, flares, gas and first aid kit with a next due date. Put an out-of-date boat or skipper on a course and Keely warns you and asks for a reason.

Logbook sign-off on a phone

The skipper records attendance, miles and the outcome. The student sees it in their logbook, with a numbered completion record anyone can check online. RYA certificates still come from the RYA.

Your own website

Course pages with live dates and places left, a checkout in your colours, and pages your staff can change and preview before they go live.

Moving a booking to a new date in one step

After a blown-out weekend, students pick a new date themselves, or the office moves them in one step. Keely records the refund, credit or new date.

Joining instructions

19:00

The night before, every crew has its joining instructions.

Which yacht, which berth, what to bring and who their skipper is, sent at the time you choose.

Freelance skippers

Know three months before a skipper's ticket runs out

Your skippers come and go across the season, and each one brings their own qualifications. Keely keeps every expiry date, reminds the skipper, and shows you anything due before you put them on a boat.

First reminder · 09:00

90

days before

James hears that his first aid certificate runs out on 21 June.

Second reminder · 09:00

30

days before

The week's board flags his name next to the course he is booked to skipper.

Last reminder · 09:00

7

days before

Put him on a course after the 21st and Keely warns you and asks for a reason.

Three days later

18:20

Renewed

He sends the new expiry date from his phone. It counts once the office has checked it.

Boats too

The same dates and reminders work for each boat's liferaft, EPIRB, flares and gas. One download gives an inspector every skipper's tickets.

    Work out your own figures

    Saturday, 07:30

Everyone aboard on time, and nobody rang round

Every crew list printed, every balance paid, every skipper in date. The office opens the week's board and sees only what needs a person.

The students already have their boat, their skipper, the meeting point and the kit list on their phones, so the 07:45 calls don't come.

    Forms and joining instructions

From behind: a student and her instructor at a RIB's console, heading out past moored boats.

    Questions

    What sea schools ask us

Can Day Skipper and Competent Crew share a yacht?

Yes. Courses on the same boat and dates count against the same berths, so the places left on your website are right for both.

Do our freelance skippers have to use phones?

No. They can see their schedule, add a renewed ticket and sign off logbooks on a phone if they want to. If a skipper prefers paper, the office records the logbook entry and the skipper signs.

Does Keely make our boats compliant?

No. It keeps each boat's dates, documents and reminders in one place, ready for when an inspector or surveyor asks. The Sport or Pleasure Vessel Code has applied since 12 December 2025. Boats already coded move to it at their next scheduled renewal examination, or by 12 December 2028 if that is later (gov.uk).

What happens when a weekend is blown out?

You choose a refund, credit or a new date for each student. Students can also pick the new date themselves, and Keely records it against the booking.

Can we still take bookings by phone and bank transfer?

Yes. They go in the same diary as online bookings. Cash and bank transfer carry no fee, and a balance paid by bank transfer is marked as paid by the office. A pay link counts as paid online.
